1.Date & Place:
The 8Th Int. Exhibition For Hospitality & Hotel Equipment ( HOSPEX ) will be held on 15, 16, 17, and 18 March 2010 at Damascus Fairs Ground, located on Damascus Int. Airport Highway.
2.Opening & Closing Hours:
The opening ceremony will be at 6.00 p.m. on Monday, 15th of March, 2010.
HOSPEX will open daily from 4.00 p.m. to 10.00 p.m., at least one member of your staff should be at your stand at 3.30 p.m. daily during HOSPEX.
3.Stand Layout & Fitting:
The stand shell scheme includes:
- Walls and fascia panel ( Height of the panel is 2.5 m.)
- Exhibitor's name details.
- Gray carpet tiles.
- Two spotlights per 9 sqm.
- One (220 volts) power supply with 3-pin socket attached to the stand wall.
- Two flat shelves per 9 sqm.
- Two conference chairs per 9 sqm.
- One round or square table per 9 sqm.
- One waste basket.
4.Decoration Norms & Additional Furniture:
Each exhibitor is responsible for his stand’s decoration.
For assistance, please contact the Organizers who could recommend stand builders and interior decorators.
Kindly note that Exhibitors are not allowed to hang, glue, drill, nail, paint or use wallpaper on the stand panels.
5.Setting-Up Of Stands:
-Build-Up: on Saturday 13 March, at 8.00 a.m. to 10.00 p.m.
Sunday 14 March, at 8.00 a.m. to 10.00 p.m.
Monday 15 March, at 8.00 a.m. to 3.00 p.m.
Setting up of all stands must be completed by 3.00 p.m. on Monday, 15 March 2010.
6.Dismantling Of Stands:
The fair ground will be closed and lights switched off at 11:00 p.m. on 18 March, an hour after the closing time of Hospex. For security reasons no one will be allowed to remain inside the halls after that time. Stands should not be dismantled or products taken out before the official closing hour.
The fair ground will re-open on Friday, 19 March at 9:00 a.m. for staff with Exhibitor passes to commence the dismantling and removal of their stands, display material and exhibits.
We kindly ask you to be present during the dismantling of the stands from 9:00 am on Friday, 19 March. The Organizers are not responsible for any stands left unattended and for any items that go missing from the stand. Dismantling of stands must be completed by 9:00 p.m. on Saturday, 20 March 2010. Any material left on site after that time will be disposed.
7.Sound Transmission:
The Organizers reserve the right to specify the installation and level of sound systems accepted at the stands.
8.Restrictions :
Distribution of samples and promotional material is only allowed within the Exhibitor’s stand.
9.Security :
The Organizers are not responsible for any case of theft or loss during opening hours. It is strongly recommended that you do not leave valuable items at your stand especially during the dismantling of the stands. In case of any loss or theft, inform the organizers immediately. It is mandatory that a member of your personnel be present at the stand half an hour before the exhibition opens and until all visitors have left the halls. Under no circumstances should the stand be unmanned during the opening period of the exhibition.
The Organizers will make all reasonable arrangements for security coverage, they are not responsible for any loss or damage which may occur and the exhibitors will be responsible for security of their stand during opening hours.
10.Cleaning :
The fair ground will offer daily cleaning of walkways and exhibition stand floor. Cleaning of exhibits and furniture is not included. Stands should always be kept clean and tidy. They should never be left without competent personnel during the opening hours of Hospex.
11.Official Catalogue:
The Organizers will publish an official show catalogue in both English & Arabic languages which will be freely available to trade visitors at the registration desk during HOSPEX, please ask the organizers about advertising and sponsorship opportunities.
12.Invitations :
Invitations will be sent to targeted professionals in Syria, Lebanon, Jordan, Iraq, Egypt & the Gulf Countries. Exhibitors will be provided with free invitation cards to invite their key contacts. These invitation cards will be sent to exhibitors in the beginning of February 2010. Please make sure that you send them to trade visitors only and not to the general public.
VIP Invitations: VIPs and key clients will be sent invitations to the opening ceremony with their personalized badges to avoid queuing at the registration desk. Please send us a list of your key contacts by 10, February, 2010.
13.Condition of payment:
An application form is issued and deposit payment of 50% is due immediately.
Full settlement of your account has to be made by 10, February, 2010. Exhibitors will not be allowed to start working on their stands if their accounts were not settled in full.
